This case study highlights how the Society for Health Psychology transformed its webinar operations by centralizing registration, automating CE certificates, and reducing administrative burden while expanding access for non-members.
About the Society for Health Psychology
The Society for Health Psychology (SfHP) is a member-based division of the American Psychological Association (APA) with an independently managed website. It serves as a professional home for individuals in health psychology, offering member benefits and educational opportunities for both members and non-members.
SfHP’s website functions as a central hub for resources, including webinars that offer continuing education (CE) credits required for ongoing professional licensure.
The challenge
SfHP set out to expand and monetize its webinar program for non-members. At the time, key processes such as registration, evaluation, attendance tracking, and CE certificate delivery were managed across multiple systems.
This fragmented approach created inefficiencies, increased administrative workload, and made it difficult to scale the program. It also limited the overall user experience and constrained revenue growth.
The goals
- Make the webinar experience easier for both attendees and administrators, from promotion through completion
- Bring all webinar tools into one centralized platform
- Enable paid registration for non-members
- Automate attendee communications and notifications
- Provide a centralized portal where attendees can access their CE certificates
The solution
To support a more streamlined and scalable system, Merge built on SfHP’s existing use of MemberPress by implementing MemberPress Courses.
Each webinar is structured as a “course” and requires both members and non-members to register. This approach provides a reliable method for tracking participation while maintaining a consistent experience. Members register at no cost, while non-members pay at checkout.
Live webinars are delivered through Zoom, while pre-recorded “Homestudy” sessions are embedded directly within the course using YouTube. After completing a webinar, participants move through an evaluation and quiz before automatically receiving their CE certificates.
The system also makes it easier to display available webinars on the website, with simple filtering by category and topic. Events Manager Pro was added to give users a clearer view of what’s coming up and help them plan and register for upcoming sessions.
The results
The updated system brings webinar management into one centralized platform, significantly reducing administrative workload and eliminating manual processes. SfHP can now efficiently track registrations and CE completion in one place.
Opening registration to non-members created a new revenue stream while maintaining a seamless experience for existing members. Automated communications and certificate delivery improved the overall attendee experience, and the centralized portal allows users to access their CE certificates at any time.
The impact
SfHP Operations Manager Stephanie Brown reports that the improved system saves up to an hour of administrative time per webinar. She notes that the most meaningful benefit is having “a more professional and streamlined system.”
If your organization is managing webinars, CE certification, or member education across multiple systems, there is a better way to do it.
This project demonstrates how the right structure and integration can reduce administrative burden, improve the user experience, and create new opportunities for growth.
At Merge Studio, we help organizations simplify complex systems so they can focus on delivering meaningful experiences to the communities they serve.
